Social Media Tools for Agencies and Freelancers Managing Contractor Clients
By TradeFlow Editorial Team · Published 2026-10-03
If you run social media for a handful of HVAC, plumbing, roofing or landscaping companies, the tool decision comes down to two numbers: what it costs per client brand, and how many hours each client's month still takes after the tool has done its part. Most comparison articles skip both.
This guide compares the tools agencies and freelancers actually use for contractor clients, with costs worked out at 5, 10 and 15 clients. We make runtradeflow.com, which is one of them. Every price comes from each company's own website, checked on October 3, 2026.
Two kinds of tools, two kinds of hours
Schedulers with AI help (SocialPilot, Vista Social, Sendible) manage the calendar, approvals and publishing across many accounts. You still create each client's posts: the photos, the graphics and most of the writing. They save scheduling time, not content time.
AI content tools (runtradeflow.com, Apaya, Marky, Presly) build each brand's posts for you from its website and brand, then schedule and publish them. They save content time, which is where most of the hours go for a roster of contractors.
Many agencies run one of each: an AI tool to build the month and a scheduler they already know to publish it. runtradeflow.com exports a month as a CSV formatted for Sprout Social or Meta for exactly that reason.
What contractor clients need that other clients don't
- Google Business Profile posting. For local trades it's often the most valuable channel. Check that a tool publishes there before anything else.
- Seasonal content per trade. Tune-up pushes for HVAC in spring, freeze warnings for plumbers, storm-season inspections for roofers. The calendar for each client should come from its trade and season, not a shared template.
- Claims that hold up. License numbers, years in business and review counts should only appear when the client has confirmed them.
- Strict brand separation. Each client's posts land on its own accounts with its own logo, never a sibling's.
The tools
runtradeflow.com. Paste each client's website and it builds the brand kit and a full month of posts with branded graphics, on a seasonal mix for that client's trade. Approved posts publish to Facebook, Instagram, LinkedIn and Google Business Profile, or export as a CSV. Multi is $199 a month for 5 brands and Agency is $399 for 15, with extra brands at $25. Clients don't log in; you approve on their behalf. It doesn't report engagement analytics. 7-day trial, no card.
Apaya. AI captions, graphics, scheduling, publishing and reporting across ten platforms, including Google Business Profile, with contractor-specific pages. Supernova, the agency plan, is $229 a month ($183 billed annually) plus $89 per extra brand, and adds a white-labeled platform where clients approve or request changes. 3-day trial.
Marky. Builds posts from each client's website, with AI images, carousels and animated posts, and posts to Google Business Profile. Pro is $229 a month ($114 billed annually) with a white-label client portal and approval workflow, plus $25 per extra workspace. Channel limits apply per plan, with extra channels at $7 a month.
Presly. Website-based AI posts on credits. Agency is $499 a month ($399 billed annually) for up to 40 workspaces and about 1,600 posts. No approval workflow is listed on any plan, and the 7-day trial needs a card.
SocialPilot. A scheduler priced by social accounts. Premium is $100 a month for 25 accounts and 6 users, with client approval and white-label reports. Ultimate is $200 for 50 accounts. Extra accounts are $4. Google Business Profile is supported on every plan. 14-day trial, no card.
Vista Social. A scheduler priced by profiles. Professional is $99 a month for 15 profiles with single-stage approval, Advanced $199 for 30 with multi-stage approval, and Scale $449 for 70. AI image and video generation was added to every plan in June 2026. Supports Google Business Profile. 14-day trial, no card.
Sendible. A scheduler organized by client workspace, with unlimited users on every plan: Core has 1 workspace, Plus 3, Premium 7, Elite 15 and Enterprise 50. Approvals start on Plus and white-label is a paid add-on. It supports Google Business Profile. Sendible's pricing page loads its prices dynamically, so check it directly. 14-day trial, no card.
What it costs at 5, 10 and 15 contractor clients

The schedulers look cheapest because they leave the content to you. If a client's month takes three hours to make by hand, ten clients is thirty hours a month before anything is scheduled.
How to choose
- Clients expect to log in and approve their own posts: Apaya Supernova or Marky Pro. Both offer a white-labeled approval screen.
- You approve on clients' behalf and cost per brand matters most: runtradeflow.com.
- You already make the content and need a multi-account calendar: SocialPilot, Vista Social or Sendible.
- Volume over control: Presly, if you can live without a formal approval step.
Run any trial on two real clients at once, one easy and one difficult, and compare the months side by side. That shows you more than a feature grid. How we checked
Prices, plans and features come from each company's own pricing and product pages, read on October 3, 2026. Totals are our arithmetic from those list prices and may not match a quote you get. Prices change; check the vendor's site before you buy, and email hello@runtradeflow.com if we got something wrong.
FAQ: social media tools for agencies with contractor clients
What is the cheapest way to manage social media for 10 contractor clients? If you create the content yourself, a scheduler such as SocialPilot Ultimate at $200 a month covers 40 accounts. If you want the posts built for you, runtradeflow.com Multi with five extra brands is $274 a month.
Which agency social media tools post to Google Business Profile? runtradeflow.com, Apaya, Marky, Presly, SocialPilot, Vista Social and Sendible all support it.
Do I need a white-label client portal? Only if your clients expect to approve posts themselves. Many contractor clients would rather not log in to anything, and approving on their behalf with a monthly check-in works fine. If yours want to approve, Apaya Supernova and Marky Pro offer branded approval screens.
Can I keep using Sprout Social or my current scheduler? With runtradeflow.com, yes: approve the month and export it as a CSV formatted for Sprout Social or Meta. The schedulers above work alongside any tool that produces finished posts.
